Series groups

A series lives or dies on whether the twentieth departure runs like the first. What that needs from an operator is boring and specific: rooms that are committed rather than requested, terms that do not tighten when the season does, and one person who answers when a departure has a problem at 23:00. Here are ours, in figures.

What we are running now

We currently operate a series for the Kazakh market: ten rooms, two departures a month, seven nights, on a Tbilisi–Kakheti–Gori–Kutaisi–Batumi routing. That is what the operation is doing, not a capability we are describing. Correct as of September 2026.

The terms, in figures

These are the standard terms, confirmed in the contract for your series. They are the same in Georgia and Azerbaijan, and the same in August as in February.

We do not run series on allotment

The usual model is a floating block of rooms you draw down against. We do not work that way. What we hold is a commitment per night with specific hotels, for a specific number of nights, agreed for that series — so the rooms are committed rather than requested, but the commitment sits against named properties rather than a pool. The practical consequence is that the hotels and the package are chosen before the series opens, not renegotiated while it runs. It is a narrower promise than an allotment and a more reliable one, which is the trade we would rather make.

What it takes to open one

There is no minimum volume to qualify and we do not turn enquiries away on size — we would rather look at a small series than decline one. What a series does need is a few rooms per departure, a package chosen, the hotels chosen, and a signed contract. Once those four exist we can commit; before they exist we are quoting against live availability, and we will say which of the two you are getting.

Release and cancellation

For ten rooms or more, unsold rooms release one month before arrival. Below ten rooms, release is 72 hours before arrival. Those figures hold year-round and across both countries — we do not run a tighter summer schedule. There is no staged reduction and no sliding scale of penalties: at ten rooms or more a departure can be cancelled free of charge up to 30 days before arrival, and inside 30 days the booking is payable in full. Below ten rooms it is a single 72-hour deadline on the same terms. One date to plan against, not a ladder. Rooming lists can come as late as five days before arrival.

High season, and how far ahead to place it

From the middle of June to September is when inventory is genuinely tight. Summer should be placed at least three months ahead, and earlier is better. We do not reject enquiries that arrive later than that — but later means we are working against live availability rather than a commitment, and we will tell you plainly which one your dates are getting rather than let you find out in July.

Guide and vehicle rotation

Each departure is assigned a named guide and a named driver in advance, and you get the guide's name and background before the group arrives rather than on the day. Across a series we hold the guide language and the vehicle class constant, so departure twelve gets the same specification as departure one. We contract vehicles rather than owning them, which is why the class — not a particular registration plate — is what we commit to. Guiding runs in 11 languages.

Two countries on one series

Because we operate Georgia and Azerbaijan ourselves, a series can cross the border without changing operators. The road crossing is Lagodekhi–Balakan, with a short direct flight and an overnight sleeper as the alternatives; we book it, meet the group on both sides and run the transfers. One contract, one operations contact and one set of net rates cover the whole route.
